Reiterate Out-of-Office Dates This might seem obvious, but make sure you clearly state and when you’ll be back, and whether or not you’ll be responding to calls and emails while you’re out.
If you’re on the road but are responding to messages, let everyone know if you’ll be unavailable for an extended period (while on a flight, for example), if you’ll be in a different time zone, and in general, that they should expect a delay in response time.
This feature is present in Outlook 2013, Outlook 2016, Outlook 2010 and even in the older versions of Microsoft Outlook.
It is commonly referred as an out-of-office reply; however, it can be used in many other situations as well.
If you don’t have an exchange account, then you will need to setup rules to do this for you as discussed below. Please refer to the next section to know about setting automatic replies in non-exchange accounts. If you want to set start time and end time for automatic replies, check the Only send during this time range checkbox, and set start and end date and time.
In the tab labelled Inside My Organization, type the text message you want to send as a reply if someone emails you within the organization.
In the tab labelled Outside My Organization, check the Auto-reply to people outside my organization checkbox and select one of the radio button options labelled as My Contacts only or Anyone outside my organization.
You’ve got to give people options for how they can get their issue or request resolved.
One of the easiest wins here is to provide alternative contact information.
